Disputes over damage often begin because nobody can prove the condition of the property at the beginning of the tenancy. A consistent inspection record helps both sides.
Use the same checklist at both ends
Rooms, walls, floors, fixtures, appliances, windows, furniture and meters should be reviewed in a consistent order so comparisons are meaningful.
Take dated photographs or video
Wide room views establish context while close-up images document specific defects. Store the files with the lease record rather than leaving them in a personal phone gallery.
Record existing defects honestly
A fair move-in report protects the tenant from being blamed for old damage and protects the owner from later arguments about new damage.
Document meter readings and keys
Utility readings, remotes, access cards and key counts belong in the handover record because they can create real costs at move-out.
General educational information only. Property, legal, tax, insurance, leasing and management decisions should be verified for the specific property and jurisdiction.
