Remote ownership becomes harder when contracts, receipts, photos and statements are scattered across email, messaging apps and relatives’ phones. A simple property file can reduce confusion and improve accountability.
Create a permanent folder structure
Separate ownership documents, leases, tenant records, maintenance, utilities, taxes, insurance, photographs and management reports. Use consistent file names with dates.
Keep evidence with the expense
A repair entry should link to the request, quotation, approval, invoice, payment proof and after-photo. This makes later review much easier than searching several conversations.
Control access
Give managers or relatives access only to the folders they need and keep critical ownership or identity documents in a more restricted location.
Review the file on a schedule
A quarterly or semiannual review can identify missing receipts, outdated contacts, expiring agreements and unresolved maintenance before they become emergencies.
General educational information only; document retention, tax and legal requirements may vary and should be confirmed with qualified advisers.
