Changing managers can create gaps in rent collection, tenant communication and property records if the handover is treated as only a key exchange.
Collect the complete tenant and lease file
Obtain current leases, tenant contacts, payment history, deposits, notices and any open disputes or commitments. The incoming manager should not have to reconstruct the tenancy from messages.
Reconcile money before the transition
Confirm rent collected, unpaid balances, security deposits, reserve funds, outstanding vendor invoices and the final owner remittance.
Transfer property information and access
Keys, gate controls, utility details, warranties, inventory records, vendor contacts and maintenance history should move with the management responsibility.
Notify tenants clearly
Tenants need the effective date, new payment instructions and a reliable contact. Conflicting instructions during transition can create missed payments and unnecessary suspicion.
General educational information only. Property, legal, tax, insurance, leasing and management decisions should be verified for the specific property and jurisdiction.
