An annual meeting should do more than replay twelve months of WhatsApp messages. The best agenda turns records, concerns and opportunities into decisions for the year ahead.
Start with the financial and membership facts
Review contributions, balances, unpaid obligations, membership changes and any commitments already made. Shared facts create a better foundation for discussion.
Review projects one by one
For each project, record current status, money spent, remaining budget, responsible person, unresolved issues and the decision needed from the group.
Limit strategic priorities
Choose a small number of objectives for the next year and assign an owner and deadline to each. A long wish list is not an operating plan.
Close with documented decisions
Minutes should capture motions, votes, assignments and deadlines. The annual meeting becomes valuable only when the decisions survive after everyone travels home.
